
Secretary
Overview
Knights College is seeking a highly organised, detail-oriented Secretary to provide administrative support to the Organisation, while coordinating key project initiatives and activities.
This role requires excellent organisational skills, discretion, and the ability to handle various priorities across executive support and project administration. The successful candidate will be a point of contact between senior leadership, academic teams, external partners, and stakeholders, supporting smooth and efficient operations at the heart of KNIGHTS College.
Responsibilities
Role responsibilities (will include but are not limited to)
- Prepare correspondence, reports, and official documents with attention to detail
- Provide secretarial support to the Organisation, including diary management, travel arrangements, meeting scheduling and briefing
- Manage confidential and sensitive information with discretion and professionalism
- Support the administration and delivery of the organisation’s key initiatives
- Professionally liaise and communicate with internal teams, external stakeholders and partners to ensure timely communication and follow-up on action items
- Support the preparation and submission of relevant documentation for applications or project reporting when necessary, ensuring compliance with the set deadlines
- Maintain accurate and well-organised records, files, and databases, ensuring easy retrieval and compliance with College policies.
- Monitor incoming correspondence, prioritise items for top management, and respond to incoming standard requests as appropriate
Education and Experience
We’re looking for someone with:
- A recognised MQF Level 5 qualification or higher in Business Administration, Office Management, or a related field.
- Minimum of 2 years’ experience in a secretarial, administrative, or coordination role.
- Excellent written and verbal communication skills in English (Maltese is an advantage).
- Strong proficiency in Microsoft Office and cloud-based collaboration tools (e.g. Google Workspace, Dropbox).
- Proven ability to manage multiple deadlines with accuracy and efficiency.
